SPECIFIC RESPONSIBILITIES
We have a variety of volunteers needs for this event. Each of these roles plays an essential part in ensuring the success of this event. Whether you're tech-savvy, enjoy engaging with guests, or have an eye for detail, there's a volunteer opportunity for you!
- Set up the night before (Friday, February 7, 5pm)
- Assist with setting up the silent auction area, including arranging auction items.
- Help set up the photo booth, ensuring backdrop and props are in place for guests to enjoy.
- Place centerpieces on tables and arrange place cards to ensure each guest has a seat reserved.
- Requires attention to detail and organization.
- Guest Check-in/Check-out
- Use our event program software to check guests in as they arrive and direct them to their assigned tables.
- After the event, assist with guest check-out, helping to collect any outstanding payments for auction items and raffle purchases.
- Ensure all guests have an efficient and pleasant check-in and check-out experience.
- Raffle Sales
- Engage with guests during the check-in/social hour, as well as throughout the event, to promote the event's raffles to maximize fundraising effort.
- Highlight the raffle prizes.
- This role is perfect for individuals who enjoy interacting with people and helping raise funds for the cause.
- Technical Assistance During Silent Auction
- Assist guests in creating online bidding accounts and help them navigate the auction site.
- Provide technical support if any issues arise while bidding on silent auction items, ensuring guests can participate without any problems.
- This role is ideal for someone with a bit of tech-savvy who can troubleshoot and help guests seamlessly engage in the auction.
- Take-down/Clean-up
- Assist with clean-up of the venue, including taking down decorations, packing away items, and ensuring everything is left in good condition.
- May involve helping with clearing tables, breaking down the photo booth, and collecting any remaining event materials.
QUALIFICATIONS
- Set up
- Ability to follow instructions and set up decor, auction items, and place settings carefully and neatly.
- Some light lifting may be required.
- Willingness to collaborate with staff and other volunteers to efficiently prepare venue.
- Guest Check-in/Check-out
- Ability to engage with guests in a friendly, professional manner and direct them to their assigned tables.
- Basic proficiency with event software.
- Accuracy when checking guests in and ensuring the proper payments are made at check-out.
- Raffle Sales
- A friendly, approachable demeanor to engage with guests and encourage raffle ticket sales.
- Previous experience in sales or customer-facing role is a plus but not required.
- Ability to keep track of raffle sales and inform guests about the prizes and raffle process.
- Technical Assistance During Silent Auction
- Basic technical skills.
- Comfort with using mobile devices and online auction platforms to assist guests in creating bidding accounts and troubleshooting any issues.
- Patience and clear communication to ensure guests understand the process and feel confident bidding on the silent auction items.
- Take-down/Clean-up
- Ability to help with cleaning up the event setup, which may involve lifting or moving tables, decorations, and materials.
- Willingness to work together with staff and other volunteers to ensure the venue is cleaned up efficiently.
- Attention to detail ensuring that everything is packed away and the venue is left in excellent condition.
